What an itemised payslip is

An itemised payslip is a record of how an employee's pay for a period was worked out. It breaks the salary into its parts, so both sides can see exactly what was earned, what was taken off, and what was paid. It applies to all employees covered by the Employment Act. Employers in Singapore have had to issue them since 1 April 2016.

When it has to be issued

What has to be on it

Include each item unless it does not apply. For example, if overtime does not apply, items 9 to 11 may be omitted.

  1. 1 Full name of employer
  2. 2 Full name of employee
  3. 3 Date of payment (or dates, if consolidated)
  4. 4 Basic salary. For hourly, daily or piece-rated workers, also show the basic rate of pay (e.g. $X per hour) and total hours or days worked or pieces produced
  5. 5 Start and end date of salary period
  6. 6 Allowances paid for the salary period: all fixed allowances (e.g. transport) and all ad-hoc allowances (e.g. one-off uniform allowance)
  7. 7 Any other additional payment for the period: bonuses, rest day pay, public holiday pay
  8. 8 Deductions for the period: all fixed deductions (e.g. employee's CPF contribution) and all ad-hoc deductions (e.g. no-pay leave, absence from work)
  9. 9 Overtime hours worked overtime only
  10. 10 Overtime pay overtime only
  11. 11 Start and end date of overtime payment period, if different from item 5 overtime only
  12. 12 Net salary paid in total

Consolidated payslips

If you pay an employee more than once in a month, you do not need a separate payslip for every payment. You can issue one consolidated payslip, as long as it covers all the payments made since the last payslip.

Keeping records

Keep a record of all payslips issued, as a soft or hard copy, including handwritten.

Common questions

Who has to receive an itemised payslip in Singapore?
All employees covered by the Employment Act. Employers have had to issue itemised payslips since 1 April 2016.

When does the payslip have to be given?
Together with payment, or within 3 working days of payment if that is not possible. On termination or dismissal, it must be given together with any outstanding salary. Soft copy, hard copy and handwritten are all accepted.

Is anything I type uploaded or saved on your servers?
No. The payslip is built entirely in your browser and nothing is sent anywhere. If you choose to save employer or employee details, they are stored only in this browser using local storage.

Does this make my payslips legally compliant?
It follows the itemised payslip requirements published by MOM and helps you include the required items, but it is not legal or HR advice. You are responsible for the accuracy of what you enter.

We build software that fits how a business already runs: invoicing, reporting, WhatsApp, the repetitive stuff. Payroll is the classic example, the same shape every month. If it has grown past a spreadsheet, that is the kind of thing we automate.
